Hoopla enables organisers to plan and sell tickets for an event, manage the audience before, during, and after an event, and sell goods and services related to an event.
We do this through available software on our website, domains, and mobile applications, hereinafter referred to as "the services." To provide our services to you, we rely on collecting and processing personal data.
Consent
By using the services or allowing someone to use the services on your behalf, you consent to our processing of your personal data in accordance with the privacy policy described in this document.
Personal data is any information or assessment that can be linked to you as a person. This includes, for example, your name, address, phone number, email address, IP address, or national ID number. Behavioral patterns are also considered personal data, such as where you shop, where you move throughout the day, or what you search for online.
Processing of personal data includes any use of personal data, such as collecting, recording, compiling, storing, and disclosing personal data. It can also be a combination of these processes.
The specific personal data we collect and process is described in sections 2 and 3 of this privacy policy.
1. Data Controller
Hoopla AS, through its CEO, is the data controller for the company’s processing of personal data. Each section will indicate if the daily responsibility has been delegated. This only applies to the responsibility for executing tasks, not the overall responsibility.
2. What Personal Data Do We Collect?
Organizers
We collect personal data from you in connection with:
- Registration for access to the services as an organiser
- Inquiries and support requests
- Our surveys
- Use of the services
The following personal data is collected:
- Name
- Address
- Email address
- Postal code
- Phone number
To facilitate the payment of organiser revenues and ensure accurate financial reporting, we also collect account numbers and billing addresses.
Administrator and doorman: When added as an administrator or door guard, we collect your email address.
Ticket Buyers and Visitors to the Services
We collect personal data in connection with:
- Ticket purchases for an event
- Inquiries and support requests
- Surveys
The following personal data is collected when purchasing tickets:
- Name, email, and phone number
- Information about behavioral patterns
The event you purchased a ticket for, the type of ticket purchased, payment method (card/invoice), whether you received the ticket via SMS, and the time of admission to the event.
- Mandatory or optional form responses
An organiser can attach a form to the purchase page to collect additional information about you as a ticket buyer. Fields may be mandatory or optional. The organiser should only make a field mandatory if it is necessary to fulfill an agreement with you as a ticket buyer. Collecting sensitive information is not allowed. - Voluntary consent for marketing from Hoopla or the organiser
Upon purchase, you may voluntarily consent to receive marketing from Hoopla and the organiser (if activated). This consent allows Hoopla or the organiser to share your name, email, and phone number with third parties solely for mail or SMS dispatches containing relevant information or marketing. All messages must include an option to unsubscribe from future communications. You can also unsubscribe by logging into "My Page" on Hoopla. If you receive marketing from organisers without an opt-out option, notify us at privacy@hooplatickets.com.
For inquiries and support requests, we collect the personal data you provide. For surveys, we collect personal data from the questionnaire.
Anonymous Personal Data
To improve, customize, and maintain the services we provide, we collect and analyze anonymized personal data when you visit or use our services and applications.
The following personal data is collected and analyzed:
- IP address
- Browser type
- Descriptions of your devices and software
- Domain name of your Internet service provider
- Your approximate geographic location
- Your registered use of the service
- Time of use of the service
We collect this information using "cookies," which store information from your browser when you visit our pages. You can disable cookies in your browser settings at any time.
Potential Organizers
We collect the following personal data about potential customers:
- Name
- Email address (if agreed upon with the potential customer)
- Phone number
3. Why Are Personal Data Processed?
Organizers
We process your personal data to:
- Handle your inquiries before, during, and after an event.
- Facilitate the payment of organiser revenues and ensure financial reporting.
- Approve logins to the organiser account and entry app.
Ticket Buyers
We process your personal data to:
- Handle your inquiries before, during, and after the event.
- Ensure payment for your tickets and send them via email and SMS.
- Create a participant list that can be downloaded with the information collected when purchasing a ticket.
- Enable the organiser to contact you via SMS and email regarding the event you purchased a ticket for.
- Provide the organiser/health authorities with an overview of visitor registration for potential contact tracing.
Potential Organizers
We process your personal data to market our services and coordinate these activities. The data is used to contact you by phone and—if you have consented—via email.
4. Legal Basis
Organizers and Ticket Buyers
Personal data processed to fulfill the service is based on the Norwegian Personal Data Act § 8a (GDPR Article 6b). Processing beyond this requires your consent, which you may withdraw at any time by contacting privacy@hooplatickets.com.
Potential Organizers
Personal data processed for marketing our services is based on the Norwegian Personal Data Act § 8f (GDPR Article 6f) and the Marketing Act §15.
5. Where Are the Data Collected From?
Organizers and Ticket Buyers
Data is collected when you register and use your organiser account or purchase a ticket for an event.
Potential Organizers
Data is collected from publicly available sources such as organisers’ websites and the Brønnøysund Register through business databases like Proff.no and Purehelp.no.
6. Is It Voluntary to Provide Data?
Providing personal data beyond what is necessary to deliver our services is voluntary.
7. Are Data Shared with Third Parties?
We share personal data with our subcontractors where relevant for processing personal data as described in this privacy policy.
8. How Are Data Stored and Deleted?
Data is stored in our services and with our subcontractors. If an organiser deactivates their account, data is retained for up to five years. If you withdraw consent and no other legal basis for processing exists, your data will be deleted.
9. What Are Your Rights?
You have the right to request deletion of your personal data and to object to processing beyond what is necessary to deliver the services. Requests must be responded to within one month.
10. How Are Data Secured?
Data is protected through our internal control and organiser terms, which comply with current legislation. Data processing agreements with our subcontractors regulate their use of data and ensure confidentiality.
